Minutes of April 29, 2003

Those present were:

Mike Wingo, Amy Hall, Rob Hornbaker. Trey Bradberry, Robert Baird, Gary Sullan,  and Rick Hazlewood.

 

 

The club’s teams were 27-10-2 overall in the SFC Spring Tournament. The website has been updated with the championship team photos.

 

Treasurer Report:

Gary is getting familiar with the books. He still needs access to the Fall Cup account. It was also decided that Rick Hazlewood and Amy Hall will also be designated signers on the accounts as back up for Gary.

 

In the future, the club’s financial reports will be sent out at the beginning of each season so every parent is informed.

 

Secretary Report:

Discussion was held on what information will be posted in the online minutes. It was decided all minutes will be posted except for personnel and specific financial information. For example, we will not post information concerning specific negotiations about land or the status of any trainer.

 

All of the minutes that are currently in the secretary’s possession will be posted.

 

Fall Cup Update:

Insurance has been obtained.

 

An estimated breakdown of some general costs for the Fall Cup are:

            Refs                15 K

            Field Rental      7-8 K

            Trophies           3-4 K

We discussed Sara Seed’s possible role in helping us with the tournament.

 

Communications:

We need a person to communicate all of the scores to the News-Gazette.

 

Club party will be held around the skills week camp conclusion.

 

We agreed to meet with Sara Seed to see what she could possibly do to help the club in terms of PR and sponsorships in addition possibly using her for the Fall Cup.

 

Coaches Report

Tryouts and Registration:

Tryouts will be during the week of June 16th starting with the younger players on Monday and work through the week in the evenings. The exact schedule will be announced later. Those who made it will be notified by Saturday, June 21st.

 

Tryouts for the high school girls teams will be on Aug. 20th.

 

Fliers will be made and handed out to the schools publicizing the tryouts.

 

Registration will be held on Tuesday, June 24th at the Urbana Civic Center and on July 30th at Parkland College. At this time, it was suggested that the secretary and treasurer be at both events.  However, uniforms must be ordered by July 13th in order for them to be shipped to us in time for the beginning of the fall season.

Other items:

A discussion was held concerning the idea of “playing up” and how that decision is made. There are only five who are doing so at this time.  The decision is Trey’s who many factors about the player and what is best for the player in terms of development.

 

Land Acquisition

Rob met with the committee. They are evaluating eight or nine sites at this time. They are analyzing the development costs that will be incurred once the land is acquired. The committee is also evaluating the actual amount of land. The committee is also investigating the possibilities of leasing vs owning the land too.
